Common answers for school leadership

SchoolRev - Frequently Asked Questions

Clear answers to the most common questions about how SchoolRev works for schools and parents.

SchoolRev is built for Nigerian schools that need transparent, accountable fee management without forcing parents onto a new app. If your question isn't answered below, chat with our team on WhatsApp.

Q1: What exactly does SchoolRev do?

Answer: SchoolRev helps schools issue clear, itemised fee invoices and send them to parents via WhatsApp. Parents pay the school directly by bank transfer into the school's own account. SchoolRev never touches the money. After paying, parents click a secure link to submit their payment reference. The school then verifies it against actual bank records and issues a digital receipt. Every step is tracked, so both the school and the parent have a clear, auditable record of what was owed and what was paid.

Q2: Does SchoolRev collect or hold school fees?

Answer: No. Parents transfer fees directly into your school's existing bank account, the same account you already use. SchoolRev is a management tool, not a payment processor. It helps you communicate the right amount, the right bank details, and verify that the transfer actually happened. Your money goes straight to your bank, not through a middleman.

Q3: Do parents need to download an app?

Answer: No. Parents receive fee instructions on WhatsApp, something they already use every day. When they need to confirm a payment, they tap a secure web link that opens in their phone's browser. No registration, no password, no app to install. For parents who want to see a full dashboard with all their children's records, they can request a magic link via email, still no app required.

Q4: How does the school send fee invoices to parents?

Answer: Your school secretary generates invoices in SchoolRev, either one student at a time or an entire class in one click. SchoolRev then prepares a WhatsApp message containing the fee breakdown, exact bank details, and a secure confirmation link. The secretary taps "Send via WhatsApp", which opens WhatsApp with the message pre-filled to the parent's number. They simply tap send. No API costs, no business accounts needed, just the WhatsApp your secretary already has on their phone.

Q5: What does the parent see in the WhatsApp message?

Answer: The message includes the school name, the child's name and class, the academic term, invoice number, total amount due, the bank name, account name, and account number to transfer to, and a secure link for the parent to confirm their payment after transferring. The bank details are locked at invoice time, so even if the school updates an account later, the parent's instructions won't change mid-payment.

Q6: How does a parent confirm they've paid?

Answer: After making a bank transfer, the parent taps the confirmation link from their WhatsApp message. This opens a simple web form. No login needed, where they enter the amount they paid and the last 6 characters of their bank transaction reference. SchoolRev records this as a pending confirmation. It does not count as proof of payment, the school must still verify it against the actual bank statement. This protects schools from false claims while giving parents a fast, structured way to notify the school.

Q7: How does the school verify that a parent actually paid?

Answer: The school's accounts officer opens the verification queue in SchoolRev. They can import a bank statement (CSV) and SchoolRev will automatically match transaction references and amounts against parent submissions. The officer can also verify manually by entering the bank reference and amount. If a submission doesn't match, it can be rejected or flagged for dispute, with a reason recorded. Once verified, SchoolRev issues a digital receipt visible to both the school and the parent.

Q8: Can SchoolRev handle multiple bank accounts?

Answer: Yes. You can configure multiple school bank accounts and assign specific fee categories to each. For example, tuition fees might go to Account A while development levy goes to Account B. When an invoice is generated, SchoolRev automatically creates separate payment instructions for each account, so the parent knows exactly how much to transfer where. Each instruction gets its own confirmation link.

Q9: Is there a way for parents to pay online instead of bank transfer?

Answer: Yes. If your school connects a Paystack account, parents can pay directly through an online checkout from their SchoolRev dashboard. The payment is verified automatically via Paystack's webhook, no manual matching required. Bank transfer remains the primary option since most Nigerian parents already use mobile banking. Paystack is an optional add-on for schools that want to offer card or USSD payments as well.

Q10: Is SchoolRev secure? Who can see my school's data?

Answer: Each school's data is completely isolated, no other school can see your records. Staff access is role-based: only authorised roles like the Proprietor or Accounts Officer can verify payments or view financial reports. Sessions are encrypted and secured with HTTPS. Privileged actions like accessing financial data require multi-factor authentication (MFA). Parent access uses time-limited, single-use magic links that expire after 30 minutes. Every action is logged in an immutable audit trail.
